This notice explains how Ingenious Media Ltd. collects and uses personal data when you use the All Ireland Aviation & Space Conference website, register for an event, submit a form, use an attendee or exhibitor service, or communicate with the event team.
This notice covers public event websites, registration, ticketing, forms, event communications, badges and QR codes, attendance and lead-scanning services, public profiles, awards entries and configured connected services.
Depending on your interaction, we may process identity and contact details, organisation and job information, registration answers, ticket and payment records, attendance and badge activity, form submissions, uploaded files, communication preferences, technical logs, device and cookie data, and content you ask us to publish.
Information comes from you, your organisation, authorised event partners, ticketing and registration providers, public professional sources where appropriate, and the systems used to deliver and secure the event.
We process information to deliver requested services and contracts, manage the event, communicate essential information, answer enquiries, meet legal obligations, protect the platform and pursue legitimate interests such as event improvement and relevant business communications. Consent is used where required, including for optional marketing and non-essential cookies.
Dietary, health or accessibility information is requested only when needed to provide appropriate support. Access is restricted and the information is not used for unrelated purposes.
Speaker and business profiles may display names, roles, organisations, biographies, images, websites and social links. Only information intended for publication is shown. Contact the privacy team to request a correction or removal.
Registration and badge data is used to issue tickets, operate check-in and record attendance. When you voluntarily allow an exhibitor or sponsor to scan your badge, the displayed contact information may be shared with that organisation for the stated networking purpose.
Service emails may be required to deliver a booking or event update. Promotional communications are sent only under an appropriate legal basis and include an unsubscribe control.
Information submitted through public forms is sent to the event administration system and may be routed to configured service providers needed to fulfil the request. The public forms directory is not exposed; each form is presented only in its intended page context.
Authorised administrators may use assisted tools to organise, summarise or draft content. Material decisions are reviewed by people, and access controls apply to underlying information.
Access is limited to authorised staff, the relevant event organiser or client, contracted processors, and partners you deliberately choose to engage with. We do not sell personal data.
Where a provider processes information outside the relevant jurisdiction, we use an appropriate transfer mechanism and contractual safeguards where required.
Records are retained We keep personal data only for as long as necessary for the relevant event, service, legal, accounting, security and dispute-handling purposes. We use proportionate technical and organisational controls including access management, encryption in transit, logging, backups, change control and incident response.

Essential technologies operate the site, remember privacy choices, protect forms and maintain sessions. With permission, analytics or marketing technologies may help us understand and promote the event.

The event platform is intended for professional audiences and is not directed at children. The configured minimum attendee age is 18.

These terms govern use of this website and participation in All Ireland Aviation & Space Conference. By using the site, registering or attending, you agree to the terms that apply to that activity.
Ingenious Media Ltd. operates the platform for the event organiser and may act on instructions from an identified client organisation.
You must provide accurate information, have authority to act for any organisation you name, and meet the event’s minimum age requirement of 18.
Keep access credentials and tickets secure. Tickets remain subject to validation, capacity and any price, tax and payment terms shown during checkout. Duplicate, transferred or fraudulently obtained tickets may be cancelled.
Unless the booking information states otherwise, event registrations and paid event products are non-transferable and non-refundable except where required by law or expressly agreed by us in writing.
Programmes, speakers, venues, formats and timings may change. Where circumstances outside reasonable control affect delivery, the organiser may postpone, relocate, change format or cancel the event and will communicate the available remedy.
Participants must follow venue rules, lawful staff directions and the event code of conduct. Harassment, unsafe behaviour, unlawful activity, credential misuse and disruption may result in removal without refund.
Tell the event team about reasonable accessibility requirements as early as possible. We will work with the venue and relevant providers to support participation.
Additional booking or participation terms may apply. Participants remain responsible for the accuracy, legality, permissions and rights associated with material they supply.
Event photography or recording may occur. Prominent notices and available opt-out or support arrangements will be provided where appropriate.
Badge scanning is voluntary unless required for access or safety. Choosing to share a badge with a business allows that business to receive the displayed networking details under its own privacy responsibilities.
Do not interfere with the site, bypass access controls, scrape protected data, upload malicious material or reuse content without permission. Site content and branding remain owned by their respective rights holders.
Links and integrations may lead to independently operated services. Their terms and privacy notices apply when you use them.
Information is provided for general event and professional purposes and is not professional advice. Nothing excludes liability that cannot legally be excluded. Subject to that, liability is limited to the extent permitted by applicable law.
Access, registration or participation may be suspended or ended where these terms, law, safety rules or the rights of others are materially breached.

Providers can include hosting and content delivery, database and authentication, ticketing and payments, email delivery, file storage, analytics, customer support and configured business integrations. They receive only the access needed for their contracted service.
When processing crosses borders, we assess the destination and use adequacy decisions, approved contractual clauses or another lawful safeguard as required.
Security is treated as an operating programme, not a one-time feature.
Public sites, administration, authentication, databases, storage, integrations and deployed event services are documented and reviewed.
Access is role-based, limited to authorised users, reviewed when responsibilities change and removed during offboarding.
Material changes are reviewed, tested and deployed through controlled environments with rollback options.
Dependencies and infrastructure are monitored, with remediation prioritised by severity, exploitability and exposure.
Events are triaged, contained, investigated and documented. Required notifications follow applicable legal deadlines.
Critical providers are assessed, backups are protected and recovery arrangements are tested in proportion to risk.

We want the All Ireland Aviation & Space Conference website and event services to be usable by as many people as possible. We aim to follow WCAG 2.2 Level AA for the public experience and continually improve keyboard access, focus visibility, semantics, contrast, responsive layout and understandable content.
The tab list works with a keyboard: use Tab to enter it, Left and Right arrows to move, and Home or End to jump to the first or last document. Each document remains available as ordinary text without requiring animation.
Some third-party embeds, supplied documents, legacy media or externally managed booking steps may not yet meet the same standard. We prioritise barriers that prevent a person from completing an essential task.
